Sivana Systems ("Sivana," "we," "us," or "our") provides done-for-you AI automation services for small businesses, including social media content creation and scheduling across Meta platforms (Facebook and Instagram) and LinkedIn. This Privacy Policy explains what information we collect when providing these services, how we use it, and the choices you have.

This policy applies to sivanasystems.ai and to the accounts, tools, and integrations we use to deliver our social media automation service on behalf of our clients.

1. Who This Applies To

We work directly with our clients, business owners who engage Sivana Systems to manage their social media presence. To provide this service, a client connects (or authorizes us to connect) their business's Facebook Page, Instagram Business account, and/or LinkedIn account so that we can publish content on their behalf.

We do not knowingly collect data from the general public, page followers, or customers of our clients. We only access the business accounts our clients explicitly connect to us.

2. Information We Collect

Information you provide to us:

Business contact details: name, email address, business name, and website
Brand materials: logos, brand colors, product photos, and other assets you supply for content creation
Content instructions: topics, captions, tone preferences, and posting schedules you give us

Information we access via connected accounts:

Page/account identifiers (e.g., Facebook Page ID, Instagram Business Account ID, LinkedIn profile/organization URL)
Authorization (via API access token or an authorized account session) needed to publish content to the connected account
Basic account metadata needed to confirm a post was published successfully (e.g., post ID, publish status, timestamp)

We do not access private messages, friends/follower lists, personal profile data, or any data belonging to a connected account's audience.

3. How We Use Information

To generate and schedule branded posts (images and captions) for the accounts you've connected
To publish content to Facebook, Instagram, and LinkedIn at the times you specify
To confirm successful publishing and troubleshoot failed posts
To communicate with you about your account and our services

We do not use your data for advertising, do not sell it, and do not use it to build profiles unrelated to delivering your social media service.

4. Third-Party Service Providers

We rely on a small number of trusted providers to deliver the service. They only receive the minimum data needed to perform their function:

OpenAI: used only to generate creative image assets from a text description and your brand's color palette. Image generation is performed using an API key that you provide and control; we use it solely to generate the images you request and do not repurpose it for any other service. No personal data, account tokens, or follower/customer information is sent to OpenAI.

5. Data Storage & Retention

Access tokens, brand configuration data, and any API keys you provide us (such as an OpenAI API key used for image generation) are stored only for as long as you remain an active client. If you end services with Sivana Systems or revoke access, we delete stored tokens, keys, and configuration data within 30 days, unless we're required to retain records for legal or accounting purposes.

6. How to Revoke Access

You are always in control of the connection between your accounts and our service. You can revoke Sivana Systems' access at any time by:

Removing the connected app/integration in your Facebook or Instagram Business Integrations settings
Removing the connection in your LinkedIn account's app permissions
Emailing us at contact@sivanasystems.ai and requesting we disconnect your accounts and delete your data

7. Data Security

We use reasonable technical and organizational safeguards to protect the information we hold, including restricted access to stored credentials and encrypted transmission of data. No method of storage or transmission is 100% secure, but we work to protect your information to the best of our ability.

8. Children's Privacy

Our services are intended for business use and are not directed at, nor do we knowingly collect information from, individuals under 13 years of age.

9. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. The "Effective date" above will reflect the most recent update.
